Violet Crown Rider Reimbursement Program

Policies and Procedures

The VIOLET CROWN SPORTS ASSOCIATION RIDER REIMBURSEMENT PROGRAM was created to help defray the cost of racing and to stimulate more participation in races and rides by the membership.  Participation in the program is voluntary and subject to the limits and rules contained in this policy.  Participation is open to all members in good standing.

Reimbursable Events:

All races sanctioned by USA Cycling, US Triathlon, or NORBA, and all organized rides with an entry fee of $25 or more are eligible for reimbursement.  This includes all types of cycling events.

Event Particulars:

For a racer to seek reimbursement, the racer must have completed the particular event and not have received a DNF.  It is not required to achieve a particular placing or a particular time standard.  Wearing of the current jersey, having a current year membership, and possessing a valid racing license appropriate for the event are required for reimbursement.  Entrants in all other reimbursable events are required to wear the current jersey and have a current year membership.

Per Event Limits:

VIOLET CROWN SPORTS ASSOCIATION will reimburse the cost of an event’s entry fee or $15 whichever is less.  Each stage of a stage race is reimbursable up to the entry fee divided by the number of stages or $15 per stage whichever is less.  Reimbursement is limited to entry fees only.  Local weekly races such as the Driveway Criteriums or Dirt Derby will be reimbursed to a maximum $15 limit per day regardless of the number of races entered.

Family Memberships:

For the purposes of this policy, family members covered under a family membership are considered reimbursable members.

Per Rider Limitations:

There will be a limit of $150 per member per calendar year reimbursed.  There is an exception for both State and National Championships which will be reimbursed regardless of whether the member’s limit has been reached.  Family members are considered reimbursable members.

How to Submit for Reimbursement:

The reimbursement form is available on the VIOLET CROWN SPORTS ASSOCIATION web site.  Download the reimbursement form, fill it out completely and submit it to the treasurer, in person, at a regular VC monthly meeting.  Exceptions to this policy will be made at the discretion of the treasurer and only under hardship conditions.

Time Limits:

All reimbursement requests must be made within four months of the date of the event. After this date reimbursement will not be given.

Total Reimbursable Amount:

Each year a certain amount of money is budgeted for the RIDER REIMBURSEMENT PROGRAM.  Once this amount has been disbursed, the program will be closed for the year and no further requests accepted.  The closing of the program will be announced at the next regular monthly meeting and posted on the VC website.

Right to Change or Cancel:

The executive team of VIOLET CROWN SPORTS ASSOCIATION reserves the right to change, cancel, extend, or modify the particulars of the RIDER REIMBURSEMENT PROGRAM at any time with notice being limited to a posting in the current news section of the VC website.

Proof Required:

The VCSA reserves the right to require proof that the terms of this policy have been met prior to reimbursing for a particular event.
